Crew Accommodation Manager

The Crew Accommodation Manager (CAM) is a planning and control solution that manages Flight Deck and Cabin Crew hotel requirements and day-of-flight changes. It's also a business to business collaboration environment that manages critical communications between the Airline and its Accommodation Suppliers.

CAM is designed to control the costs of in-flight service operations by:

  • Improving the quality of planned information to crew accommodation suppliers
  • Incorporating "day-of-flight" last minute accommodation changes
  • Calculating expected costs and auditing supplier invoices to ensure value for money
  • Authorizing payment of invoices once discrepancies have been resolved

Key Benefits

  • Reduction in crew accommodation costs due to improved planning, better control over hotel booking changes and systematic supplier invoice audits
  • Recovery of Accommodation Taxes, where applicable
  • Supplier discounts due to early payment
  • Reduction of direct crew accommodation expense claims
  • Improved productivity of overloaded administrative staff

Main Features

  • Manages multiple accommodation services and suppliers per airport/location
  • Manages multiple business rules to select services and suppliers
  • Manages suppliers' complex contract conditions
  • Manages bookings and cancellations, up to and including "day-of-flight" changes
  • Manages all forms of payment (invoices, corporate credit cards, etc.) and currencies

How It Works

Based on the information provided by the Crew Scheduling System and the Crew Operations Agents, CAM:

  • Generates hotel reservations requirements per airport, selecting service and supplier as per user-defined business rules, i.e. preferred supplier, lowest room rate, layover duration, etc.
  • Manages modifications and cancellations to existing reservations based on crew changes or operations modifications
  • Manages day-of-flight bookings and cancellations
  • Automatically communicates reservations requirements, modifications, cancellations, day-of-flight changes, and confirmations to suppliers
  • Audits and reconciles all invoices detecting discrepancies, such as, incorrect room rate, incorrect number of room nights charges, duplicate invoice, incorrect or no discounts, incorrect charges for cancellations, invalid surcharges, and incorrect accommodation tax

Technical Summary

CAM comprises a web-based secure thin client running in an MS, UNIX or Linux environment using a SQL-based DBMS. XML connectors are provided to ERP, RES and CREW management systems.
